The Secretary to the Director of Special Education is responsible for all secretarial work required by the Director, and is expected to expedite assignments as designated by him/her.
Duties and Responsibilities:
Responsible for the efficient operation of the Director's office.
Responsible for public relations work, telephone and personal, with parents, teachers, principals, and administrators.
Responsible for all confidential correspondence, dictation, and typing.
Arranges and maintains a schedule of all office appointments for the Director.
Assists in general reorganization at the beginning of each new school year.
Responsible for all requisitions submitted by members of the department.
Assembles all pertinent correspondence, data documents, and other material necessary to enable the Director to arrive at administrative decisions with expediency.
Keeps accurate records of out-of-district students, cost center account numbers. Submits authorizations for payment to Superintendent and Business Manager.
Keeps accurate personnel files and records of teacher and teacher aide evaluations.
Maintains student class rosters on computer. Updates changes monthly.
Assists in assigning teachers when substitutes are not available for absent special education teachers. Maintains accurate dates of such.
Assists in the Preparation of all special education related service grants.
Assigns homebound teachers for students who cannot attend regular schools due to illness.
Submits weekly payrolls.
Assists with special education transportation, as needed.
Compiles reports as directed.
Composes and types routine letters.
Examines reports and records for accuracy and completeness of routine, easily verified information.
Responsible for the maintenance of confidential records pertaining to students and their families.
Assumes other general responsibilities as may be assigned by the Director.
Qualifications:
High School Graduate
At least five (5) years of responsible secretarial experience or two (2) years of business school, plus three (3) years of successful secretarial experience.
Thorough knowledge of grammar, spelling, and business correspondence.
Strong attention to detail and organizational skills
A high degree of patience and tact in dealing with the general public, parents, teachers, administrators, prospective teachers, and other school staff.
The ability to exercise some independent judgment
Will be required to take tests to measure general secretarial skills and knowledge of office procedures.
