Position Summary & Responsibilities

Position Summary:

This legal assistant position provides direct support to legal counsel in managing KORA requests, subpoenas, discovery matters, and HIPAA compliance. The role also assists the Chief Counsel by tracking legal issues, scheduling meetings, and performing assigned administrative tasks.

Job Responsibilities may include but are not limited to the following:

Legal - Administrative and Litigation

The incumbent provides administrative support in key areas including discovery, HIPAA compliance, and public records management. Working under the direction of legal counsel, the incumbent assists with tasks related to subpoenas, interrogatories, and document production, and supports the Agency’s compliance with the Kansas Open Records Act (KORA), the Freedom of Information Act (FOIA), and HIPAA regulations. Key responsibilities include:

  • Assist legal counsel in coordinating discovery processes involving the Agency, including locating, organizing, and reviewing responsive records.
  • Support the preparation and tracking of subpoenas, interrogatories, and other legal requests.
  • Liaise with internal Commissions and external counsel to help clarify the scope and relevance of requested materials.
  • Maintain organized records of discovery activities and contribute to documentation and process improvements.
  • Provide administrative support for HIPAA compliance efforts, including updating training materials, assisting with inquiries, and tracking policy revisions.
  • Support the KORA Officer in processing KORA and FOIA requests, including logging requests, locating documents, redacting, calculating fees, and preparing correspondence.
  • Collaborate with legal staff to ensure timely and accurate responses to public records inquiries and regulatory referrals.

Legal Support to Chief Counsel

The incumbent provides high-level administrative support to the Chief Counsel by scheduling meetings, managing the calendar and travel logistics, and maintaining organized legal files, case records, and correspondence. They assist in tracking deadlines, court dates, and key legal milestones, and are responsible for drafting routine memos, reports, and correspondence. The role also includes proofreading and formatting legal filings and internal documents, while ensuring the secure handling of confidential and sensitive information.

Provides administrative support to attorneys and assists Legal Division staff with assignments as needed. Completes special projects and other duties as assigned, which may include supporting agency staffing needs during and after emergencies such as natural disasters, public health crises, or acts of terrorism. Always maintains strict adherence to legal confidentiality and HIPAA compliance.

Completes special projects and performs other duties as assigned including but not limited to ensuring the agency is adequately staffed during and immediately following natural and/or manmade disasters, infectious disease outbreaks, and/or acts of terrorism. Assists other employees in the work unit in accomplishing assignments as necessary.


Qualifications

Minimum Requirements :

  • One year of clerical experience or one year as an executive assistant.
  • Proficient with Microsoft Office Suite
  • Travel

Preferred:

  • Two years of experience as a legal assistant, or completion of a 60-hour legal assistant program or four years of clerical experience.

  • Proficient with Adobe Pro

Post-Offer, Pre-Employment Requirements:

  • Pass a background/fingerprint check conducted by the Kansas Bureau of Investigation (KBI)
